Following the success of the Invictus Games in London 2014, the Invictus Games Foundation was established. The Foundation is the governing body of the Invictus Games overseeing their planning and delivery which will soon enter their seventh iteration in Whistler Vancouver, Canada, in February 2025. Over 20 participating nations in the first Invictus hybrid winter-games. But we are more than just the Games. Our mission is to inspire, improve and influence the recovery and rehabilitation of the Wounded, Injured and Sick (“WIS”) service personnel and veterans through sport and adventurous challenge.

As a result of continued support from the Armed Forces Covenant Fund Trust (AFCFT), the Invictus Games Foundation is seeking to extend and develop the Grants and Operations Support Executive role, as it moves into its next stage. You will be the regional manager (Southwest) of the Veterans Places, Pathways and People (VPPP) Programme as well as supporting the wider operational delivery of the Invictus Games Foundation. The VPPP Programme itself is a living network of support for Veterans and their Mental Health, it is a National Programme that has been divided into regions for more localised delivery. This next stage will see the VPPP work at a higher strategic level with direct links to the Office for Veteran Affairs, the Ministry of Defence, and the NHS, as well as continuing to build relationships with agencies in the private and third sector. The overarching aim of the Programme is to maintain a self-sustaining eco-system of accessible and measurable provision for Veterans and their support networks.

This is an exciting opportunity to join the Invictus Games Foundation as the Grants and Operations Support Executive. This is a key role in helping us to support sports recovery activities that inspire, improve and influence individual recovery and onward rehabilitation across the Invictus Community of Nations.

You will be part of a small team of twelve that is driven, ambitious and entrepreneurial, being part of a movement with purpose and a shared belief in the power of sport to change lives.

The Grants and Operations Support Executive will assist programme leads within the VPPP Programme in achieving success through encouraging and facilitating support, collaboration and sharing best practices as well as the point of liaison with the AFCFT in terms of reporting. 

The Grants and Operations Support Executive will liaise with the IGF Communications Team to ensure that the impact of the VPPP Programme is more widely shared.

The Grants and Operations Support Executive will support the wider IGF Executive in all aspects of operational delivery, allowing the successful candidate to have an impact across the foundation.

During your employment under this Agreement the Grants and Operations Support Executive’s typical responsibilities will include, but are not limited to:

Responsibilities under the VPPP Programme

  • Act as the regional co-ordinator in the Southwest of England, for the Veterans’ Places, Pathways & People Programme (VPPP), with the following requirements:
    • Act as point of liaison for both the Partners and the Armed Forces Covenant Fund Trust (AFCFT oversee the national VPPP Programme).
    • Provide project assurance to IGF’s Executive and Board that the portfolio is meeting requirements as laid out by Grant Agreements.
    • Prepare grant documentation for each of the programmes including reporting requirements and payment schedules in accordance with both IGF and AFCFT requirements.
    • Ensure the Finance Director is provided with the payment details to make grant payments to portfolio projects on a timely basis.
    • Conduct Programme meetings and attend in person project meetings where required.
    • Establish effective working relationships with all stakeholders and ensure effective portfolio communications.
    • Monitor and manage Measurement & Evaluation across the Programme so that impact integrates within existing and developing IGF measurement structures.
    • Work with Directors to communicate this impact and knowledge of the Programme’s development.
    • Act as the key point of liaison between AFCFT and IGF with key tasks of stakeholder management, consolidating information for reporting requirements and supporting future funding opportunities.
    • Take responsibility for the timely submission of all grant reporting to the AFCFT working with other members of the Executive including the Finance Director to ensure all information is provided as required.

Operations Support

  • Provide support to the day-to-day operational running of the organisation through:
    • Office management and administrative support.
    • Maintenance and upkeep of the storage facility (located within walking distance of the IGF office).
    • Liaison with the landlord’s management team at House of Sport to report issues arising and keep IGF informed of facilities updates and networking opportunities arising.
    • Coordination of diaries to arrange internal and external meetings.
    • Collection and distribution of post
    • Administrative support to the CEO and COO as needed including preparation of expense claim forms.
    • Managing the info@invictusgames.org email mailbox.
    • Book meeting rooms, zoom calls and managing the digital meeting schedule.
    • Support to high level meetings including producing minutes.
    • Support the IGF Executive in utilising Salesforce and Sharepoint following the recent transition to these systems.
    • Maintain the leave and travel log.
    • Book travel for the IGF team through the designated third-party travel company.
    • Managing DBS checks for new joiners and renewals as required.
    • IT Lead for the organisation including coordinating the purchase of new equipment with the third-party IT provider and approving change requests as needed.
    • Managing the relationship with the external Data Protection Officer.
    • Maintain the log and ensure the management of the annual Cyber Essentials checks and cyber training, provided by a third party.

Provide additional and comprehensive support to the IGF Executive and Board during periods of high intensity, for example during the Invictus Games or when hosting events. Attendance at the Invictus Games Vancouver Whistler 2025 for a period of up to 2 weeks from 6th February 2025.

The Grants and Operations Support Executive must have the capacity to day-commute to the London office (Borough) up to 3 days a week and be able to travel to meetings/sites around the Southwest as part of their Grants duties.

The Grants and Operations Support Executive will report directly to the Foundation’s Chief Operating Officer.

The role is offered as a fixed term contact for the next 2 years, with the possibility of extending.

Personal requirements

  • Strong organisational skills with the ability to multi task.
  • Self – starter, but with confidence to seek help when required.
  • Good attention to detail.
  • Strong oral and written communication skills.
  • Competent with IT including the Microsoft Office suite.
  • Previous experience of Salesforce desirable but not essential.
