Following the success of the Invictus Games in London 2014, the Invictus Games Foundation was established.The Foundation is the governing body of the Invictus Games, overseeing their planning and delivery. We have just returned from the Invictus Games Vancouver Whistler 2025, which brought together over 500 competitors from 23 nations to compete in adaptive sports. This was the seventh iteration of the Games and the first in a winter-hybrid format.
But we are more than just the Games. Our mission is to inspire, improve and influence the recovery and rehabilitation of Wounded, Injured and Sick (“WIS”) service personnel and veterans through sport and adventurous challenge, year-round.
This is an exciting opportunity to join the Invictus Games Foundation as an Executive Assistant, providing high-level administrative support to the CEO and the wider Senior Leadership team. You will join a small team that is driven and ambitious, being part of a movement with purpose, and a shared belief in the power of sport to change lives and save lives.
During your employment as Executive Assistant, your typical responsibilities will include, but are not limited to:
Key Responsibilities
- Manage and coordinate the diary of the Chief Executive, prioritising and arranging internal and external engagements.
- Provide administrative support including data entry, email management, preparation of expense forms, and ensuring appropriate briefing papers are prepared and provided.
- Organise travel and accommodation arrangements when required and through a third-party travel company.
- Provide similar support to the wider Senior Leadership team.
- Liaising with the Patron, Chair, and Board of Trustees as appropriate, including arranging and servicing quarterly Board meetings.
- Organise and support weekly management meetings, as well as wider team meetings and events.
- Support high level meetings including producing minutes.
- Book meeting rooms, schedule Zoom calls, and manage the digital meeting schedule.
- Maintain accurate contact lists and databases for seamless communication.
- Perform other ad-hoc tasks as required and requested by the Senior Leadership team.
Qualifications and Skills
- Educational background.A secondary school qualification is required; a university degree in a related field is preferred.
- Work experience.Proven experience operating at a C-suite administrative assistant level is essential. Experience supporting multiple Senior Executive at the same time is preferable.
- Technical skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Knowledge of Salesforce CRM software is desirable but not essential.
- Organisational skills.Exceptional time management skills, with the ability to prioritise and multitask effectively. Excellent attention to detail and follow-through.
- Communication skills.Displaying strong verbal and written communication skills, allowing for effective collaboration with team members and external stakeholders.
- Problem-solving.A proactive and solution-oriented approach to handling issues, with the ability to anticipate needs.
- Ability to work independently in a remote work environment.
- Certifications in virtual assistant qualifications is a plus.
